Adding data from CSV, manual entry, and other apps
“Unmanaged data” is our term for anything that isn’t flowing into ResaleTruth through the eBay API. Historical sales older than 90 days, off-eBay sales, unlisted inventory sitting in your death pile, items consigned through another channel — all of it. The goal is simple: your books should match your business, not just the slice of it one API can see.
CSV import
The fastest way to load volume. We provide a template with the columns we need — title, SKU, purchase date, purchase price, list date, sale date, sale price, fees, shipping, channel, notes. Export from your existing tool (a spreadsheet, another tracker, etc.), map the columns, and import. Each row becomes a product, a sale, or both depending on what you’ve filled in.
You can re-import to add more — we don’t update existing rows on import, so duplicates are on you to avoid. Check your SKU or title for uniqueness before a second import run.
Where to find it: Settings → Import → CSV import. Download the template from there.
Manual entry
Add individual items directly from the Items view. Click “Add item,” fill in what you know, and save. This is best for:
- One-off high-ticket items where you want exact numbers
- Items you can’t export from another system
- Draft items you’re planning to buy but haven’t yet
Manual items work identically to eBay-synced items in reports, Schedule C, and all exports.
Third-party platform data (Mercari, Poshmark, Depop, etc.)
For platforms we don’t have a direct integration with yet, the path is CSV. Most platforms let you export your sold history — find that export in your account settings, then map the columns to our template.
The key columns we need:
- Sale date
- Gross sale price
- Platform fees (if available — if not, you can add a platform fee rate in Settings and we’ll estimate)
- Shipping cost
- Item title or SKU so you can match it to your cost basis

Historical eBay data (older than 90 days)
The eBay API caps lookback at 90 days. For older data:
- Export your sold history from eBay: My eBay → Account → Sold → Export. This gives you a CSV with order details.
- Import that CSV using our eBay export template (different from the generic template — there’s a dedicated eBay import mode).
- We match against any items already in your account by order ID to avoid duplicates.
Historical imports don’t auto-attach shipping label costs (those aren’t in the eBay export). You can add them as a lump expense per month or leave them off if you don’t have the records.
What if my data is a mess?
Start fresh. Connect eBay today, let the last 90 days sync, and accept that older data is an approximation. For Schedule C purposes, your CPA may be able to work with beginning inventory from the start of the tax year rather than full history. Ask them first.
